Bookkeeping & Accounting Support- books that hit your desk ready for review.

Catch-up work, monthly reconciliations, and ongoing books done the way your tax team needs them done. Not “close enough.” Not “you can fix it on your end.” Actually clean.

Most bookkeeping shows up to the tax team broken.

Every tax preparer has had the same January experience. The client’s books arrive. Something is off. Revenue lines don’t reconcile to deposits. Categorization is inconsistent. The owner’s draw is sitting in the wrong account. Last year’s adjustments were never posted forward.

The tax preparer spends the first three hours of the return fixing the books — work that was supposed to be done before the return ever started.

That’s the actual cost of bad bookkeeping. Not the bookkeeper’s fee. The hours your senior staff spend cleaning up before they can do the work they were hired to do.

We built this service for the CPA practices that decided they were done absorbing that cost.

When TaxicMinds runs bookkeeping for your firm’s clients, the books that hit your tax team are books they can actually use. Reconciled. Categorized correctly. Adjusted forward. Ready for the return — not the precursor to a three-hour cleanup.

That’s the entire service.

The full scope. Whether your client books are a mess or a maintenance job.

Catch-Up & Clean-Up Work

Ongoing Bookkeeping

We handle bookkeeping across every industry your firm serves — professional services, e-commerce, real estate, construction, restaurants, healthcare, nonprofits, and law practices . Industry-specific COA expertise included.

The process. Step by step.

No black box. Here’s exactly what happens when a CPA firm hands us a client’s books.
01

Books assessment

Before we touch anything, we run a complete diagnostic. Where is the chart of accounts wrong. Where are the reconciliations off. What's been deferred. We send your firm a one-page assessment within 48 hours. You decide what we fix, what stays as-is.

Software access
02

Software access (no migration required)

We work in your client's existing platform — QuickBooks Online, QuickBooks Desktop, Xero, Sage, NetSuite, Wave, or whatever else they're on. Your firm or your client grants us role-limited access. No data leaves the platform.

03

Catch-up work (if needed)

If books need cleaning up first, we handle it as a one-time engagement before transitioning to ongoing. Catch-up work is priced separately from monthly bookkeeping — no surprise fees buried in the monthly retainer.

Monthly close cycle
04

Monthly close cycle

Once books are current, we run a structured monthly close. Reconciliations completed by the 8th of the following month. Financial statements delivered by the 10th. Open items flagged for the CPA firm to address with the client.

05

Year-end handoff to tax

At year-end, books are formally closed and adjusted — including any 1099 prep, year-end accruals, depreciation entries, and tax-readiness adjustments. Books hand off to your tax team genuinely ready to prepare the return.

Year-end handoff

We work in your client's existing software.

No “you’ll need to migrate to QBO.” No “we work best with our preferred platform.” We come to whatever the client is already using.

Bookkeeping done to tax-ready standards. Not data-entry standards.

Most bookkeeping providers optimize for transaction volume — how many entries per hour, how many accounts processed per day. We optimize for what happens after the books leave us.

That’s a different standard.

Tax-ready by default.

Every entry is categorized with the eventual tax return in mind. No “we’ll figure it out at year-end.”

Reconciled to source

Bank, credit card, loan, and merchant statements all reconciled monthly. No “estimated” or “pending” reconciliations.

Adjustments posted forward

Prior-period adjustments don’t get forgotten between bookkeeping and tax. They follow the file.

Audit trail preserved

Every reclassification, every journal entry, every adjustment is logged with reasoning. Your tax team can see the “why” behind every change.

Reviewed before delivery

Every monthly close goes through a senior bookkeeper review before financials are sent. You’re not the first set of eyes on the work.

Transparent pricing. Three structures.

Most CPA practices work with us on one of three models. Pick what fits.

Per-Client Monthly

A fixed monthly fee per client book. You know the cost upfront, every month.

Best for: practices managing 5-50 client books with predictable transaction volume.

Tiered by Volume

Pricing tiers based on transaction count per client per month. Low-volume clients cost less. High-volume clients more.

Best for: practices with a mix of small and large clients.

Dedicated Bookkeeper

A dedicated bookkeeper (or team) reserved for your firm. Monthly retainer. Handles all your firm’s bookkeeping clients.

Best for: practices with 30+ ongoing bookkeeping engagements.

Catch-up and clean-up work always priced separately as a one-time fee. No setup costs. No long-term contracts. First engagement is always a pilot — usually 1-3 client books — so you can evaluate the work before scaling.

CPA & EA Practices Ask Before Working With Us.

How do you access our clients' books securely?

Role-limited access only — accountant or bookkeeper role, never admin. We never request or store login credentials. Multi-factor authentication required on every login. Access logs are audit-tracked and reviewable on request.

That’s the most common starting point. We run a 48-hour assessment first, send you a one-page diagnostic, and quote catch-up work as a separate one-time engagement. You see the scope before we touch anything

Standard catch-up: 12 months of clean-up in 2-4 weeks. Multi-year catch-up (3+ years): 4-8 weeks. Specific timelines confirmed after the initial assessment.

Yes. Once a client is assigned to a bookkeeper on our team, that bookkeeper handles the client month after month. The institutional knowledge of how each client operates stays in one place.

Whatever you prefer. Most CPA firms prefer we stay invisible to the client — all communication flows through the firm. Some firms prefer we handle routine “where’s this receipt?” emails directly. We adapt to your preferred workflow.

Reconciliations completed by the 8th of the following month. Draft financial statements delivered by the 10th. Final statements (after open items resolved) by the 15th.

We track 1099-eligible vendors throughout the year, collect W-9s as needed, and prepare 1099-NEC and 1099-MISC forms in January. You review and approve before filing. Available as an add-on or included in dedicated engagements.

Yes. We have dedicated industry expertise in restaurants (daily sales reconciliations, tip allocation), construction (job costing, WIP schedules), real estate (per-property accounting, 1031 tracking), and e-commerce (multi-platform sales reconciliation, inventory). The bookkeeper assigned to your firm matches the industries you serve.

Our bookkeeping team holds active certifications in QuickBooks ProAdvisor (Online and Desktop), Xero Certified Advisor, and Sage Certified Consultant. Certifications maintained through annual continuing education.

We flag it the moment we identify it. Your firm decides how to handle the correction — whether to amend prior periods, post the adjustment in the current period, or escalate to the client. We don’t make unilateral decisions on corrections that change historical financials.
